Position Summary:The Office Manager oversees the staff and assists in the facilitation and coordination of the leadership, management, and operational functions. This individual serves as a professional role model, leader, mentor, and resource for members of the team. Supports the mission and values of the Medical Center, and acts as a role model relative to the Medical Centers Service Care Program. Major Position Responsibilities: The position characteristics reflect the most important duties, responsibilities and competencies considered necessary to perform the essential functions of the job in a fully competent manner.   • Maintains a safe, clean working environment, including unit based safety and infection control requirements.
  • The Office Manager oversees the staff and assists in the facilitation and coordination of the leadership, management, and operational functions.
  • Serves as a professional role model, leader, mentor, and resource for members of the primary care clinic team.
  • Responsible for employee scheduling.
  • Completes all timecards and KRONOS adjustments (PTO, etc.) and approves timecards.
  • Oversees billing and reconciliation process. Understands and resolves medical coding and billing discrepancies.
  • Implements TCMC approved policies and procedures.
  • Provide guidance, and assistance in the activities of the clinic services, and assure delivery of quality, efficient, medically needed services and administrative services.
  • Develop, implement and monitor business operation plans.
  • Work with Director to develop and implement a marketing and communication plan.
  • Develop and implement clinics budget.
  • Establish internal controls for cash management.
  • Implement and maintain a process for external financial audits.
  • Develop and implement revenue cycle management and accounts receivable management and monitor financial performance and report financial results to stakeholders;
  • Compliance with Clinics policies and procedures;
  • Develop relationships with individual insurance carriers to optimize contract negotiations and maintenance of existing contracts; negotiate reimbursement agreements with additional payers as required;
  • Develop and maintain appropriate internal communication pathways for clinical and nonclinical staff;
  • Work with Director to plan and design a technology security process to protect patient and practice data systems;
  • Work with Director to manage medical information systems including medical records, medication administration and health care related document storage;
  • Lead the integration of Clinics mission statement into all aspects of clinic operations;
  • Manage front office operations to maximize patient satisfaction, collection of payments and customer service efforts;
  • Create internal processes and systems to participate in pay-for-performance programs to enhance health care quality;
  • Develop and monitor a program for staff, business and equipment credentialing and licensure;
  • Work with Director to implement a risk management plan to ensure a safe environment for patients, staff and visitors
  • Oversee compliance program for federal and state laws and regulations;
  • Prepare reports and records as may be required by Director and regulatory bodies and perform duties in accordance with all requirements imposed by statute and regulations; and
  • Provide other duties as assignedQualifications:
    • Minimum of 3 years supervisory experience, required.
    • Minimum of 3 years healthcare experience, required. Healthcare clinic, preferred.
    • Minimum of 2 years medical coding experience, preferred.
    • Minimum of 2 years Cerner or similar system experience, preferred
    • Must have good communication and organizational skills, required.
    • Knowledge of medical practice operations in an electronic medical records environment, required.
    • Computer experience, including Windows applications, MS Office required.
    • Excellent customer service skills required.
    • Leadership skills to provide direction to the health care center and motivate others, required.
    • Diplomacy skills to work effectively in politically sensitive situations, required.Education:
      • Bachelors Degree from an accredited university, required. May consider equivalent experience in lieu of education.
      • Masters Degree in Business Administration or Public Health, preferred. Each new hire candidate who is offered employment must pass a physical evaluation, urine drug screen and pre-employment background checks before starting work. *Salary/Hourly Wage range based on experience.
